General Terms and Conditions for Participation in Trainings

Registration Fee Payment

The registration fee, which constitutes payment for participation in the training, must be paid either in a single instalment or in several instalments, if such an option is available. The registration fee must be paid at the time of application. By submitting a completed and signed application form and paying the registration fee, the applicant (individual or organization) is guaranteed a place in the training and thereby assumes the obligation to pay the full training fee. The agreement for the training is considered concluded once participation is confirmed by the participant. If the number of available places is limited, confirmation of participation will be based on the order of applications received and fulfilment of any specified conditions.

If an individual or a representative of a registered organization does not attend the training and does not cancel participation in accordance with these terms, this does not affect the obligation to pay the training fee, and any fees already paid will not be refunded. Partial refunds are only possible in cases of cancellation due to extraordinary life circumstances or cancellation by the organizer.

The payment reference must include the participant’s full name and the title of the training.

Participation in the Training

Participation in the training is only possible if the individual or organization has paid the full registration fee or the agreed registration fee.

Attendance is verified via an attendance list. All participants must confirm their attendance with a handwritten signature on the attendance list or, in the case of online trainings, by having their camera turned on and displaying their full name.

Cancellation of Training and Refund Policy

If a participant wishes to cancel their participation, they must do so in writing by email to info@brainspotting.si.

The date of receipt of the written cancellation serves as the basis for calculating cancellation costs:

– Cancellation up to 90 days before the start of the training: the organizer retains 5% of the total fee for administrative costs.

– Cancellation up to 40 days before the start of the training: the organizer retains 30% of the total fee.

– Cancellation 39 days or fewer before the start of the training: no refund is possible.

– In cases of serious acute illness, serious injury of the participant or close family members (parents, children, spouse), supported by medical documentation, or death in the family, the paid fee will be refunded minus 5% of the total fee.

Early termination of the training by the participant does not release them from the obligation to pay the full training fee.

If the training cannot be carried out for any reason by the Sulis Institute, the training will be rescheduled, and the paid fee will not be refunded.

Training Execution

The organizer reserves the right to change the training date, location, or cancel the training (e.g., due to lecturer illness, extraordinary circumstances, or insufficient number of registrations), and will inform participants in advance.

Trainings are conducted in Slovenian. In the case of guest lecturers, the training may be conducted in English.

With prior consent from participants, trainings may be audio, video, or photo recorded and used for educational or promotional purposes.

Participants agree to treat all content involving practical psychotherapy demonstrations as confidential. Video, audio, or photo recording by participants is strictly prohibited.

All training materials used by lecturers are protected by copyright and may not be used for further training purposes without explicit permission and proper source attribution.

Upon completion of the training, a certificate will be issued. Full attendance throughout the entire training is required to receive the certificate.

Responsibility and Recommendations for Personal Work

The training is intended for professional education and not for personal growth or psychotherapy.

Training may activate emotional material that cannot always be resolved within the training context. Participants are therefore encouraged to have their own psychotherapist.

The Sulis Institute is not responsible for follow-up therapy in cases where personal issues arise during therapeutic demonstrations, whether for participants or observers.

Personal Data Protection

Personal Data and Retention Period

For the organization and delivery of trainings, we process personal data submitted via the application form (first name, last name, address, email, phone number, education, profession, therapeutic orientation). These data are used solely for training organization purposes, including verification of eligibility requirements.

Submitting an application establishes or requests a contractual relationship with the Sulis Institute. Personal data processing is therefore based on this contractual relationship or request. In case of limited places for the training, the applicants can be chosen before starting a contractual relationship with the Sulis Insitute.

If an application is submitted by a third party (e.g., an organization registering an employee), the submitting party is responsible for having a legal basis (such as consent) and for informing the individual whose data are submitted.

With prior consent, your name, address, email, and phone number may be used to inform you about future trainings and events. You may unsubscribe at any time via the link in our emails or by contacting info@brainspotting.si. In case you unsubscribe, we will not send you any emails.

Upon unsubscribing, we will retain a copy of your consent for up to three years, based on our legitimate interest in demonstrating lawful communication.

There is a higher likelihood that participants may be photographed or recorded during the training and that such material may be publicly shared. These materials are processed based on prior consent. In case you do not consent to being photographed or recorded, we will ask you to step away when photographing or turning off your camera in case of online trainings.

If consent is withdrawn, the materials will be retained for six years, based on legitimate interest for potential legal claims.

Attendance Confirmation

Attendance confirmation is required to fulfil contractual and administrative obligations (e.g., issuing certificates).

For in-person trainings, attendance is confirmed via a handwritten signature. For online trainings, attendance is confirmed by having the camera turned on and displaying the participant’s full name.

If this method is unsuitable, participants must confirm attendance at least five minutes before the training with the responsible person.

Data Retention Period

Personal data collected through application forms, attendance lists, and attendance confirmations are stored for six yearsafter the training date, based on legitimate interest.
